Document storage, digitisation and destruction services joining form

To participate in the document storage, digitisation and destruction services contract, your agency or school needs to agree to the syndicated panel agreement (the agreement) by submitting this joining form.

Collective procurement of document storage, digitisation and destruction services

The Ministry of Business, Innovation and Employment (MBIE) has negotiated preferential terms for document storage, digitisation and destruction on behalf of eligible government agencies. To participate and benefit you must submit the joining form below.

By submitting the joining form, you confirm that:

  • you have the authority to enter into the agreement on behalf of your agency or school
  • your agency/school agrees to comply with the terms of the agreement
  • any services order agreement between your agency and a provider is a separate legally binding and enforceable contract, and does not affect the agreement or any other agency’s services order
  • prices may be increased or decreased in accordance with the agreement, and any changes will apply to my agency’s services order(s)
  • you authorise New Zealand Government Procurement (NZGP) to use, copy, assemble and distribute (in any form) your agency’s spend and usage data for or in connection with its system lead mandates, including:
    • for analysis, reporting and research
    • to support NZGP service delivery and policy development
    • to develop future NZGP solutions
    • to comply with the law, including to respond to parliamentary, select committee and/or ministerial questions.

The agreement governs the relationship between MBIE and your agency or school for document storage, digitisation and destruction services and is non-negotiable.

Once MBIE receives the completed joining form, we will confirm that your request has been accepted and that you are able to participate in the contract.

Please retain a copy of the confirmation email, the submitted joining form and the syndicated panel agreement for your records.

Your agency or school will only become a party to the agreement once approved by MBIE.
